AITAP Minutes
Administrative System Committee-September 20, 2001

Attending: Tony Cabasco, Cheryl Schreindyl, Walter Froese, Mary Luckstead, Michael Quiner, Sherrie Kamara

Agenda Items Covered:

Appointment of a committee chairperson: Jed Schwendiman was appointed committee chairperson, Michael will notify him.

Admin-Server migration report: Michael stated the status was almost complete, and very few problems were encountered.

Report on Equipment Allocation: Michael stated that new faculty and faculty updates were completed. The group was notified that wcts was taking a 2 week break before administrative allocations begin.

Datatel password policies: Michael introduced the subject with a list of possible changes for security. There was a lengthy discussion about past security measures with the Reflections system, and the reasons for taking security measures. The group was assigned the task of establishing password security guidelines.

Document Imaging System: Michael reviewed what a document imagining system is for archiving records. It was agreed that Whitman definitely needed to research and move forward on purchasing a document imagining system. Cheryl said she had experience from her prior work place, setting up the data system. She said it is complex to set up and manage, and requires personel dedicated to the job.

Documentation: Michael asked if departments were documenting their procedures and updating them. At the next meeting the admission office will bring examples of their documentation.

AIS team visits: Michael said he spent a half day in the registrar following registration, and enjoyed the time spent and learned a lot from the visit. He wants to schedule other department visits. Everyone agreed this was a good idea.
