AITAP Minutes
Administrative System Committee-October 8th, 2001

Attending: Ron Urban, Walter Froese, Michael Quiner, Deborah Hopkinson, Cheryl Schreindl, & Sherrie Kamara

Agenda Items Covered:

Michael reviewed how wcts uses the GOST document for planning and implementation strategies. The following are strategies and goals that AIS is hoping to accomplish this year.

Strategy-WCTS will continue to improve administrative services to be more efficient

  1. Upgrade to Release 17 of Colleague, the documentation and software are on campus with implementation to begin in early summer.
  2. E-Commerce
  3. Calendar printing several requests on campus
  4. Better web access including AIS Web Wizard
  5. Improve printing from Admin server
  6. Online registration
  7. Degree auditing on line
  8. Improve statistics information on line
  9. Install backup server
  10. Campus web pages

Michael asked the members for their thoughts on the web based work order tracking system and whether they would like to see access to the system open to the campus. The committee unanimously said this was not needed and felt people would not use it. The members expressed the point that it is more important to take care of user issues rather than adding another "bell and Whistle" tool.

Michael told the committee there were weekly web group meetings organized by Mark Otis to review department web pages and problem solve. Some committee members were not aware of this and felt more departments should know about it so they could send representatives

Deborah said she thought it would be helpful for this committee to see the work order statistics and use that statistic to guide recommendations to wcts regarding training needs for departments and the campus.

Michael presented the topic of scheduling software, free versus fee based, exchange server -Microsoft verses Meeting Maker. He said Kevin would have some budget information to share regarding costs of both systems.

Michael presented the community@whitman.edu issue regarding the all staff and all faculty email lists use. The committee felt more rules would not be as helpful as campus education on the community list and guidelines for using the all staff and all faculty lists. The committee did not feel that automatically subscribing people to the community list would be beneficial.
