Laptop Security/Encryption:
PGP Whole Disk encryption and Universal server
purchased
Encourage people in your departments who are using
laptops to bring them to WCTS to have them encrypted. It can take all a day to
encrypt. It’s like setting up a new computer. It has to run overnight. It
depends on how much is on the computer. Can move things off
of the computer that does not need to be encrypted. Strongly encourage
people using laptops to get them encrypted, especially those who travel with it
often.
DocLocator
Ordered 20 licenses for DocLocator. Licenses
are $40 each. WCTS is being provided maintenance. Departments will need to
purchase their own scanning equipment. Can cost up to
$4000.00 for fast moving. There are varying level of scanners.. Departments can share. Can use small flat top scanners if
do not have a high volume of documents to scan.
Don’t want the cheapest scanner you can find, but a small one will work.
The DocLocator system is for managing files, protecting
files, making them accessible.
Whitman father, CEO of ColumbiaSoft. Giving us a deal. Read only and printing capabilities will
also need licenses. Web license is something WCTS is going to look into. Have 4
webviewer licenses meaning that any 4 people can be
online at a time looking at information online. There’s a formula for
determining the number of webviewer licenses we will
need. Registrar’s Office is interested in licenses for faculty so they have
access to student advisee files.
33 people including presenters are attending
tomorrow’s brownbag presentation. Many people who could not attend are hoping
that there will be another presentation.
Rich and Quiner are going to show the basics of what
it does and what it is. Bryce and Thorin are going to
show what they use the system for.
The security of that system is very important since
we have tax info, SS numbers, historical data, etc. Financial Aid has no more
copies of checks, they are all scanned into the system.

There is a webpage listing the problems that WCTS has
heard about and then they are marked off as they get fixed.
Printer look up was solved by renaming printers to
uppercase.
ConnectEd – Emergency Notification System
There will be web training on Thursday 11/29 at 3:00
in Olin 180. This is about how the system works and how it broadcast phone
calls to cell phone numbers in the system.
HR will be responsible for collecting faculty and
staff cell phone numbers.
Have a website for students to enter emergency
contact information and can have a website set up for staff and faculty to
enter contact info too.
Looking at several different things… ConnectEd will receive a message via cell phone or email.
Looking at a system through the VoIP system. (new phone system being installed next summer)
Looking at installing loudspeakers on campus.
DUG Board – Quiner has been elected to the board – 3
year commitment. Hoping to be on the Client Advocacy board. Conference March 9-12, 2008.
Data Standards Committee needs to meet – having
issues with student information entry. When we first went to Datatel had a
standard, but now there’s been a lot of new people so the standard is not met…
need more core training for new employees. Quiner always advises people getting
new Datatel accounts to contact Rich Hinz for Core training..
2 hour training.. Don’t know if people actually do it.
It is not required. Something the Data Standards Committee needs to address.
Invite Data Standards Committee Chair, Barb Barlow,
to our next meeting to discuss issues.
Next meeting early February. Kathy will
send an email with a date.
New hire’s computers are purchased out of WCTS
budget. Quiner checks with HR for projected number of new hires.
