POSITION PURPOSE

The Assistant to Chief Technology Officer (CTO) serves as the Office Manager for Whitman College Technology Services (WCTS) and provides administrative support to the CTO. As a member of WCTS, this position collaborates with other members of WCTS to provide an information technology environment that is consistent with the goals of Whitman College and meets the needs of faculty, staff, and students.

PRINCIPAL ACCOUNTABILITIES

  1. Serves as the Office Manager for WCTS. This includes:
    • Coordinating activities among various departments within WCTS.
    • Developing and updating WCTS procedures (e.g. laptop loan procedure) as needed.
    • Maintaining varioius software license agreements for the college, including researching and negotiating with vendors for single and multiple copy licenses.
    • Maintaining departmental personnel and payroll records.
    • Maintaining and ordering office and computer supplies; vouchers purchases of goods and services.
    • Developing and maintaining various departmental files.
    • Training and supervising student workers.
  2. Supervises Administrative Assistant located in the Center for Communication Arts and Technology.
  3. Provides administrative support for the CTO. This includes:
    • Maintaining departmental accounts and tracking budget activities.
    • Maintaining the appointment calendar for the CTO.
    • Preparing minutes, letters, reports, articles, or other materials of an important or confidential nature from general instructions, or personal knowledge and research.
    • Arranging travel for the CTO and WCTS staff and for conferences and meetings for large groups of people.
  4. Performs other duties as assigned.
REQUIRED KNOWLEDGE SKILLS AND ABILITIES

  1. Demonstrated knowledge of common microcomputer applications, such as word processing and spreadsheet; multimedia development including graphics and Web page authoring; and the use of the Internet.
  2. Strong organizational skills.
  3. Ability to work under pressure and to maintain efficiency and composure.
  4. Demonstrated commitment to participatory management and a strong service orientation.
  5. Strong interpersonal and communication skills and ability to establish and maintain cooperative and harmonious working relationships with a variety of campus constituencies.
  6. Preferred skills include experience in a supervisory role, experience in support services, experience in vendor relations, and relevant experience beyond the minimum requirement.
REQUIRED KNOWLEDGE SKILLS AND ABILITIES

  1. Bachelors Degree preferred.
  2. A minimum two years experience in office management.
  3. Satisfactory clearance of background check required.
