
Outlook Address Book
The address book contains e-mail addresses of people you want to keep saved. It consists of a Contacts folder and what is called the ldap server. To access the personal address book or contacts, do the following:
· Click on Tools on the toolbar and select Address Book.
· To add an e-mail address to the Personal Address Book, do the following:
· Click on New and select New Contact.
· You should now have a window with several editable fields labeled "First", "Middle", etc. that are divided into two sections labeled "Name" and "E-mail Address."
· In the "Name" section, type the name of the person
· In the "E-mail Address" section, type the full e-mail address of the person (username@location.com).
Note: If you would like to add more information about the user, such as their address, phone numbers, birthday, you can click on the tabs in the Properties window.
· When finished, click the OK button
· If your address book is open and you wish to compose a message to a person listed in it, do the following:
· Select the person's name from the address book
· Click on the Action button and select Send Mail
· To update information on a person listed in your address book...
· Double-click on that person's name
· Select the Name tab at the top of the resulting window
· Click on the incorrect e-mail address
· Click on the Remove button
· Enter an updated e-mail address in the "E-mail Addresses:" field
The ldap server is a listing of all of the e-mail addresses on campus including faculty staff and students. You can also use the ldap server without adding the person to your contacts or personal address book. To do this:
· Start a new e-mail message

Click on the To: or CC: field
·
Click Find
· Make sure the “Look in” bar says ldap.whitman.edu
· In the “People” tab type in a name or an e-mail address.
· Click Find Now
· Click on To: or CC: depending on what field you wish to populate.
· You can add more than one address by repeating the find
To lookup a person in the ldap server and add them to your address book do the following:
· Click on Tools on the toolbar and select Address Book.
·
From the address book click Find People.
· Make sure the “Look in” bar says ldap.whitman.edu
· In the “People” tab type in a name or an e-mail address.
· Click Find Now
· Click on Add to Address Book
Auto-Lookup
You can also let Outlook look people up for you. The auto-lookup will look in contacts first and ldap second. If a match is found in contacts it will NOT look in the ldap server.
· Start a new e-mail message
· Begin typing a name or email address in the To: or CC: field
· You can type multiple names separated by commas if you like
· Move on to the subject line
As you type the message the names you entered will either expand to a full name or email address or they will be underlined with squiggles. An expanded name means only one match was found and it has entered the address. The squiggle means more than one match was found. When you send the message, it will show you all possible matches and let you select who you want. It will do this for each item entered with more than one match. Once selected, the message is sent. You are not returned to your e-mail message.
