On-Line Directories
The Whitman College on-line directories can be found at http://www.whitman.edu/index/directory.html.
These web directories can be used to locate addresses, phone numbers and e-mail for Staff, Faculty and staff. The interface is easy to use and requires no explanation; most people are already familiar with searching for information on the web. However, We often are asked about why people are listed (or not listed) on our web directory. This session will look at some of the selection criteria that are used for compiling entries for the on-line directories.
The same programs that are used to make entries for the on-line directory also assemble the listings used by the campus e-mail (LDAP) directory.
In all cases we initially look at the privacy settings that are maintained in the BIO screen.
The Privacy field determines if information can be included in a directory, or released to the public.
The Dirctry field determines what information can be displayed on the on-line directory screens.
The Codes for Dirctry are:
1 – Name only
2 – Local Address
3 – Local Address, Phone
4 – Local Address, Spouse
5 – Phone
6 – Spouse
7 – Phone, Spouse
8 – Students Home Address
9 – Students Home/Local Address
10 – Students Home Address, Local Phone
11 – Leave out of Directory
These codes indicate what is to be included in the listing.
If a person is not found listed in the directory, or if their information is incomplete, it may be that the individual has opted not to have their information available to the public. We always respect the privacy wishes of individuals.
The criteria used to determine which individuals are considered active Staff, Faculty or Student is determined using the following guidelines:
Staff & Faculty –
In order to be included in the on-line directory Staff & Faculty must have a record in the HR system, they must not have been terminated from Whitman, and they cannot be Student or Temporary workers. (Students have their own directory)
Sometimes Staff or Faculty members arrive at Whitman before they have been given a record in the HR system. In these cases they will not appear in the Directories until their contract commences. There are also some people that work on the Whitman Campus that do not work for Whitman, such as the Bon Appetite Staff, these people would never appear in the on-line directory either. To handle these types of people we have also created a “supplementary” file of names that we can add to on an as needed basis to facilitate the ability to locate and contact some of these special cases.
Occasionally after the HR records are created for new faculty they will appear in the directory twice – because they are still listed in the supplemental file. To add special cases to the directory, or to have duplicate entries removed please contact Michael Quiner (X4975) or mailto:quinerm@whitman.edu.
This staff/faculty directory will always list a person’s primary position or title and primary office & phone number, even if they have more than one office, phone or position.
Students –
Students are selected for inclusion in the on-line directory if they have a Term Enrollment Status Code that meets the criteria selected by the registrar’s office as representing a current Whitman student. This would include any Admitted, Re-admitted, Continuing or Affiliated Study students. Withdrawn, Graduated and Whitman Staff/Spouses are not presented in the on-line student directory.
If a student is involved in off-campus studies, the directory will only display their home address (if they have no privacy restrictions) and their e-mail address. The e-mail address is the pivotal piece of information available through the campus directories.
Off-Campus –
In order to further safeguard the privacy of the Whitman College Staff, Faculty and Students there is a completely different on-line directory available to people outside of the Whitman network. Off-Campus web users only have access to names and e-mail addresses, unless they are accessing the Whitman college web via a Whitman Dial-in or a proxy server. This way sensitive information can be guarded while at the same time giving the campus information that can help facilitate communications and build community.
