General Ledger (GL)

Description: Accurate and timely financial reporting through a proven fund accounting system is essential for every college and university. Colleague provides system that combines flexibility and precision to effectively automate the General Ledger within the guidelines recommended by NACUBO and AICPA. The GL module allows your institution to design your account structure and create the chart of accounts that will best suit your needs.

Purpose: The GL class provides users with the knowledge to make effective long term policy decisions regarding the implementation of Colleague, and the information to train other users in the effective use of the GL module. In addition, a portion of this class will be devoted to issues of particular interest to the Colleague Administrator, including: file structures, data flow, parameter set-up, module relationships, security provisions, and forms design. Specifically, the class provides:

  • An overview of Colleague and the relationship other modules have with the GL module
  • A thorough presentation of the capabilities of the GL module
  • "Hands on" experience using the GL module

Audience:

  • Chief Business Officers, Controllers, and others with decision making responsibility
  • Computer center staff responsible for financial and accounting support

Prerequisites:

  • Completion of Envision Terms and Conceps computer-based tutorial
  • Review of the Implementation Approach Document
  • A familiarity with the college's current chart of accounts and reporting requirements

Content:

  • Defining the structure and creating the Chart of Accounts
  • Creating journal entries
  • Using the Financial Statement Processor
  • Posting transactions to the General Ledger
  • Month-end, year-end close, and archiving process
  • Retrieving Financial data through flexible reporting
  • Entry, maintenance and adjustment of budget figures
  • Relationship of General Ledger to Accounts Payable, Accounts Receivable, and the rest of the Colleague system
  • Maintaining the integirty and security of the database

Course Length: Two days - 9:00 a.m. to 5:00 p.m.
