IMPLEMENTATION PROJECT TEAM

Registration
Jim detailed the need for a mock registration before we attempted the process. He mentioned that he had set up some training in the Accounts Receivable for all of the upstream groups on the 22 & 23 of February. The mock registration participants should be any office that have a financial impact through the registration process:

  • Student Accounts
  • Housing
  • Student Financial Aid
  • Registrar
  • Bon Appetit
  • Health Center
  • Admissions
  • Dean of Students - Donna Gardner (for special student status)
In order for the mock registration to run all necessary Account Payable, Accounts Receivable, and General Ledger Accounts should be in place. It was noted that Mike Ionno of Datatel would be here on 2/11 to download the chart into Datatel.

HR/Paryoll
Payroll for January has been run. There are some cleanup issues in the Business Office but it was a fairly successful process at this point; however, judgement should be reserved until staff and faculty have had a look at their payroll information. She mentioned that she needs a schedule of temp time from all the offices so she could coordinate their time and keep them busy. Jeremy noted that Housing could use a temp to input ~ 200 rooms which might take a week's time.

Registrar
Classes are being input, past courses are being input with an open and close date. They have tried to write rules for degree audit with some success and they have accumulated lots of questions for the coming consultant. They will continue to work on debugging in order to be ready for the mock registration.

Admission
They are in the process of testing demographic information, and they know their conversion data still has errors. Deadline for conversion is 2/4 then reviewing results the following week. If necessary the deadline will be moved back if the review is unfavorable. Staff training is going well, Rules training with the Datatel consultant is going well and all codes have been set up in live.

Residence Life
Intend to use current system to do lottery and roommate matching in order to buy some time for the IT staff to develop alternatives that are compatible with Datatel (or test the Datatel process further).

Financial Aid
Datatel progress has been extremely slow until the last few weeks. They have all their codes set up in test. Rules training went well although only have ~ 5 rules to set up because some of our functions will be done outside of Datatel. Conversion of 2000/01 data may not be possible so may run off of the legacy system longer than anticipated. Still need to explore what is available in communications management. They were not able to set up file suites and it was determined that access was the issue. They are currently importing 1998 data for testing purposes.

Business Ofifce
It was noted that in order to run student payroll in July all students along with their respective eligibility for Federal Work Study funds would have to be loaded into Datatel. Have just finished the first phase of Accounts Payable, Accounts Receivable, General Ledger and Pooled Investment consulting and training and have more consulting yet to come.
