HR/Payroll
- Doing some cleanup--not bad. Was one of the cleanest payroll they've
run, including past BiTech payrolls. A lot of policy changes were
implemented as well.
- Now entering fringe benefits.
- Learning to use the system now.
- Now have a pool of temps that can be hired during the implementation
process.

Residence Life
- Temps have entered 450 rooms so far. These need to be fine tuned.
Admission
- Finished group training. Starting individual training of staff.
- Data conversion is the major task. Expect to finish today. They have
been meticulous about the conversion hence data is 99% clean. Will verify
data next week. If all goes well, they will be on the LIVE system on
Wednesday, February 16.
- Rules and Val Codes are all in. Still have some communiation codes to
enter.
- Need Modem access by next week. WCTS has been working on this...two
secure lines will be available next week
- Report needs are being identified. Some already setup.
- Ben Houston talked to John Bogley about the Web access...won't need
until next year's recruitment.
Registrar
- Courses being entered. All 3-digits one are in. Now entering old
unused ones.
- Next, prerequisite information will be entered.
- Crucial to have access to course enrollment over Web. WCTS is
working on this.
- Degree audit consulting went very well.
- Contracted with Datatel for transcript programming.
Financial Aid
- Imported some CSS data, plan to move them through Colleague,
documenting the process step by step.
- Had consulting two weeks ago. Sent additional inquiries to Susan
DeJong, but have not heard back.
Business Ofifce
- Busy with consulting visit today. If all goes well, will have the
complete chart-of-accounts entered in LIVE by the end of the day.
- Cleaning up some financial information from payroll.
- February 22-23 will have consulting on student AR with all involved
offices. 22nd is students folks, 23rd is students and business office.
Goal of this consulting visit is to setup a good billing table for
registration.
Conversion
Ken Paine shared the process with the group.
- Works with individual departments to finalize the mapping, then works
with both the department and Datatel programmer to setup conversion code
table.
- Good idea to work with screens to check data. Admission has
examples.
- Test data --good idea to have good test data identified. Datatel
does a sample first to check for valid codes and valid data. Then users
check data. After all this is clean, roll all the data into
TEST conversion account to make sure that all the codes are there. After
everything checks out, roll to LIVE.
- Stephanie suggests having good test data selected in advance.
- Admission conversion took longer than expected. Redommend workin one
map at a time with a backup between each, in case we need to start over.
- Admission did 4 maps. Registrar will have 8.
- Tony mentioned that it's important to have regular meeting with Ken
to communicate on code changes etc. He also said that creating a
worksheet with screen names for testing is good--then whole ofice can
check data. He emphasized the need to spend a lot of time checking
data.
Jim Ply
- Payroll conversion the cleanest he's seen--gives credit to lot of
hard work.
- Met with Dean of Faculty. The meeting went well and the Dean seemed
excited about the type of information that will be available to him with
the new system. Resolved the issue of faculty load.
- Will have course schedule by April 1.
- Temps are excellent--ask good questions and get answers, enter fast.
Gave credit to Cindy's hiring ability.
- Mock registration wil be held March 23-24. During his next
visit, he will be working with Financial Aid and
Residence Life to get into for the mock registration.
Documentation
- Admission did excellent document of procedures. Jim will circulate
copies to other offices so they can put info together. Then will have
someone put it all together in the same format.
